Key Responsibilities
Space Planning & Optimization
- Develop and implement strategic plans for workplace space allocation based on headcount forecasts, business requirements, and real estate capacity.
- Prepare and maintain Power BI dashboards to visualize trends in space utilization, occupancy rates, headcount movements, and business growth projections.
- Propose and implement optimization measures for underutilized spaces, ensuring cost efficiency and future-readiness.
- Lead demand-supply gap analysis for seating, including business-wise, building-wise, and regional level reporting.
- Supervise seat planning tickets and ensure to address them well within the timelines.
Move Management & Coordination
- Direct end-to-end move management initiatives, driving large-scale employee relocations and workspace consolidations while minimizing disruption and optimizing efficiency.
- Collaborate with business customers, vendors, and facilities teams to develop move scenarios, evaluate options, and finalize plans that align with business goals.
- Create detailed move schedules, ensuring minimal disruption to business operations.
- Oversee vendor onboarding and negotiations for workplace move and space planning services.
Automation & Process Improvement
- Design and implement automation tools for audit, tracking, and process streamlining, including barcode-based ID systems and Power Query-based data handling.
- Orchestrate integration of sensor systems and IoT tools to automate seat reservation, occupancy tracking, and utilization analysis.
- Collaborate with IT and tech teams to build scalable reporting and automation frameworks (e.g., employee exit processes, HAM tool data uploads).
Analytics & Business Intelligence
- Extract, transform, and analyze large datasets using sophisticated Excel, Power BI, Power Query, and macros to deliver actionable insights that enable data-driven decision-making.
- Create customized dashboards and reports to provide insights on occupancy trends, employee seating behaviour, and optimization opportunities.
- Lead anomaly detection and reconciliation between data sources to maintain data integrity and reporting accuracy.
Required Skills & Tools
- Technical Tools: Power BI, Excel (Sophisticated), Power Query, Macros, SAP (TMS), Barcode Systems
- Project Tools: Space Management Software, Move Management Systems, Sensor & IoT-based Monitoring Tools
- Soft Skills: Multi-functional partnership, customer communication, vendor management, strategic approach skills.
- Analytical: Forecasting, gap analysis, data visualization, trend modelling.
Qualifications
- Any bachelor’s degree or equivalent experience, Master of Business Administration, Facilities Management, or a related field.
- 10 plus years of experience in workplace space management and move coordination.
- consistent track record in data analytics, space planning, facilities operations, or business intelligence.
- Demonstrable experience in global operations coordination, seating audits, and employee move planning.
- Leverage data modeling, occupancy metrics, and analytics to inform real estate strategies, improve workplace efficiency, and enhance employee experience.
